Digitization converts analogue data or information into a digital form. Digitalization uses digital systems to change the structure or operation of an organization. Digitalization is therefore broader and may include digitization.

Consider a school library. Scanning printed membership records into a database is digitization because the information changes from analogue paper to digital data. The underlying membership process may remain unchanged.
If the library introduces an online platform through which students search the catalogue, reserve books, receive automated reminders, and access digital resources, this is digitalization. The digital system changes how the library operates and how students interact with its services.

The sequence is often:
- Analogue material is converted into digital data through digitization.
- The organization incorporates that data into digital systems.
- Workflows, services, or relationships change through digitalization.
However, digitization does not automatically produce digitalization. A company may scan every paper form but continue using exactly the same approval process. The format has changed, but the organization's structure or operation has not.
A common misconception is that the two terms are interchangeable. They are connected, but digitization concerns form, while digitalization concerns organizational change. This links to the concepts of change and systems, because digitalization can create intended improvements and unintended consequences across interconnected processes.
In an exam, a distinguish question requires you to make the difference clear by referring to both terms. Give precise definitions and use one paired example, showing conversion for digitization and operational change for digitalization.
