An effective IB coordinator-university counselor partnership connects Diploma Programme requirements with university admission. The coordinator should lead on IB regulations, assessment processes, predicted-grade quality assurance, and results services. The counselor should lead on application strategy, entry requirements, documentation, and student decision-making.

The roles overlap most clearly in predicted grades and course choice advice. Schools therefore need agreed responsibilities, a shared calendar, secure information exchange, and consistent messages for students and families.

Define responsibilities before the application cycle

Confusion occurs when both professionals assume the other is managing a deadline or checking a requirement. A written responsibility map also shows subject teachers where their work fits.

Predicted gradesEstablishes procedures and checks consistencyUses authorized predictions for application advice
ApplicationsSupplies accurate IB course and assessment informationCoordinates reports, references, transcripts, and submissions
Final resultsManages assigned IB results proceduresTracks offer conditions and required destinations

The coordinator is not the school’s sole admissions specialist. Equally, the counselor should not reinterpret IB regulations or pressure teachers to produce grades matching a preferred offer.

Build course advice around eligibility

Course selection is both a curriculum and admissions decision. Under the official DP curriculum structure, students take six subjects, with three or four at Higher Level and the remainder at Standard Level, alongside Theory of Knowledge, the Extended Essay, and Creativity, Activity, Service.

The coordinator checks whether a combination complies with Diploma requirements and can be delivered by the school. The counselor then checks whether it preserves access to plausible university courses. A valid Diploma combination does not automatically satisfy prerequisites for medicine, engineering, economics, or another specialized degree.

A shared course-requirement matrix should record:

  • Required subjects and levels
  • Required or preferred mathematics course
  • Minimum overall, HL, or individual grades
  • Language requirements
  • Admissions tests, portfolios, interviews, or experience
  • Entry year and date checked

The coordinator can test choices against IB rules, school availability, timetable restrictions, prior attainment, and workload. RevisionDojo’s guide to the best IB subject combinations for university applications offers a planning framework, but requirements must be confirmed on each university’s current course page.

The IB Recognition Statements Database is a useful starting point for recognition and general admission information. However, policies can change and additional restrictions may apply. The specific course page for the correct entry year should remain the controlling source.

Coordinate predicted grades accurately

The IB defines a predicted grade as the teacher’s prediction of the grade a candidate is expected to achieve, based on evidence of the candidate’s work and knowledge of IB standards. The IB’s assessment guidance emphasizes accuracy, not systematic over-prediction or under-prediction.

Role boundaries should be explicit:

  • Subject teachers make evidence-based subject predictions.
  • The DP coordinator manages procedures, moderation, and consistency checks.
  • The counselor explains how approved grades affect applications and offers.
  • Students and parents may request clarification under school policy, but cannot negotiate a result.

Schools may use early working estimates before producing university-facing predictions. Each version needs a defined purpose, evidence date, disclosure policy, and review process. A forecast must never be presented as an achieved IB result.

A documented cycle should include counselor deadlines, earlier teacher deadlines, an approved evidence base, departmental moderation, coordinator checks, secure transmission, and a published review procedure. Evidence may include timed assessments, mock examinations, coursework progress, and sustained class performance.

Counselors must compare the complete profile with university requirements, not only the total out of 45. A student can meet the overall threshold but miss a required HL grade. The RevisionDojo predicted-grade guide helps explain this distinction.

The RevisionDojo IB Grade Calculator can model possible totals from entered practice marks. It cannot issue an official school prediction or replace teacher judgment.

Create one application calendar

The school should combine IB obligations and admissions deadlines in one calendar. Include subject changes, prediction submission and moderation, application rounds, references, school reports, mock examinations, offers, results requests, and results-day communication.

Every task needs an owner and an internal handoff date. For example, the counselor may collect destination details while the coordinator completes the relevant IB results request.

The IB states that current-session students may ask their coordinator or university and career counselor to arrange official transcripts before results are released. The current IB transcript guidance permits up to six institutions worldwide in the initial request, subject to published conditions. Schools should recheck deadlines, restrictions, and fees each cycle.

Use a shared student review process

A joint review is particularly useful when plans change, predictions sit near entry thresholds, or subject choices may close an important route. The meeting should answer five questions:

  1. Does the subject combination meet every prerequisite?
  2. Does the predicted profile meet total, HL, and subject-specific expectations?
  3. Is the application list balanced across ambitious, realistic, and safer choices?
  4. Should contextual circumstances be documented?
  5. What actions must happen next, and who owns them?

Improvement plans should focus on genuine learning, not grade negotiation. Students can use targeted Study Notes, Questionbank practice, Mock Exams, and Jojo AI to address weaknesses before the relevant deadline. The RevisionDojo guide for university counselors explains how these resources can support planning without replacing teachers’ authority.

Avoid common coordination failures

Frequent mistakes include:

  • Advising from reputation instead of published course requirements
  • Looking only at the predicted total and ignoring HL patterns
  • Allowing counselors or families to bargain with teachers
  • Waiting until DP2 to investigate eligibility
  • Confusing working estimates, school grades, predictions, and final results
  • Sharing confidential records without appropriate access controls
  • Treating recognition as guaranteed admission

An annual review should compare predictions with final results, identify recurring departmental discrepancies, and assess whether advice arrived early enough. Its purpose is to improve accuracy, fairness, and usefulness, not reward conservative forecasting.

Conclusion

A strong IB coordinator-university counselor partnership depends on clear boundaries and reliable handoffs. Coordinators protect Diploma compliance and assessment integrity, while counselors turn subjects, predictions, and circumstances into a realistic application strategy.

Course planning should begin before the DP, while predicted-grade procedures should be written, moderated, and connected to a shared calendar. RevisionDojo can support the academic work through Questionbank, Study Notes, Mock Exams, the Grade Calculator, and Jojo AI when students need focused practice.
